Exhibition Games/Tournaments

Exhibition games are a great way to expose our players to extra competition outside of regular league play. Please keep in mind there are several regulations surrounding exhibition games.

All exhibition games must be approved by WMSC. Coaches/Managers must follow the guidelines detailed on this web page to obtain permission for an exhibition game.

There are 3 types of exhibition games. Each requires different preparation. Once approved, teams will be notified by email with the proper paperwork.


1. Games between 2 WMSC Teams

Please notify by email (operations@waterloounited.com and carl@waterloounited.com) of game details including:

  • 2 teams playing
  • Head Coach names for both teams
  • Date of Game
  • Time of Game
  • Location
  • Type of Game (9v9, 11v11)
  • Specify indoor or outdoor
  • Is a referee required:  Yes or No

Minimum notification time of 4 days is required in order to provide scheduling for referees and confirming field bookings.
Waterloo vs Waterloo games do not require books; however, all players must be verified in the OSA database. THEREFORE, A ROSTER IS REQUIRED prior to approval.


2. Intra-District Events (& Exhibition Games)

Our SWRSA District includes Kitchener, Cambridge, Stratford, Orangeville, Fergus, Drayton, Elmira, Owen Sound (Dufferin, Grey, Perth, Waterloo and Wellington Counties).

This process takes a maximum of 10 business days. To avoid disappointment, give the Office extra time during the busy season.  Please use a SEPARATE EMAIL or AHEG for EACH game or event.

Hosting an exhibition game:

  • An email must be sent to operations@waterloounited.com. The following is the format in which the email should be sent.

Subject Line:  Ex-game Request – U13A Boys  Jan 9, 2017   Head Coach Name

  1. Confirming both teams must be in possession of valid Player Books.
  2. Hosting Party’s Contact information (name, address, OSA #, phone, email, website)
  3. Event Date/Location/Time
  4. Team’s OSA number.
  5. The requesting team’s age group, gender, and name. (i.e. Waterloo United U13B girls)
  6. Coach information (name, address, postal code, phone number, work phone number, email and OSA number)
  7. Manager information (name, address, postal code, phone number, work phone number, email and OSA number)
  8. Specify indoor or outdoor and type of game (i.e. 7 v 7, 9 v 9, 11 v 11 indoor or outdoor)
  9. Full opposing team name, club, and contact information.
  10. Is a referee required?  Yes or No

NOTE: The office of the HOSTING Club seeks approval from the District. WMSC does not initiate the approval process if NOT hosting. It is up to the HOSTING TEAM to do this with its Club.

Remember that WMSC requires approximately 7 business days to validate player books for exhibition games.    Incomplete information will cause a delay in processing your request.  In order to avoid disappointment, exhibition games and tournaments should be planned and declared well in advance.


3. Out-of-District (Inter-District) Events:

An out of district exhibition game is when two teams belong to different districts. We belong to SWRSA.   It could take up to 10 days, so in order to avoid disappointment, give the Office extra time during the busy season.   AN ATF cannot be processed without OSA numbers.  Both teams must be in possession of valid player books.  When traveling to an exhibition game, please apply for your ATF right away. Once all complete and accurate information has been received in the WMSC office and the ATF has been processed, it will take 7-10 days for the District approval upon receipt of the request in their Office. (Out-of-Province travel to tournaments or memorable events requires special permissions and extra blanket insurance).  

Hosting an Out-of-District exhibition game:

If your team is planning on hosting or traveling to play a team outside of SWRSA (tournament, exhibition game, etc.), the following information is required so that the office can process your request. Incomplete information will cause a delay in processing your request.

  1. Date(s) of the event/game/tournament and include days of travel
  2. Tournament/Event Name (if applicable)
  3. Hosting Party (of tournament/game/event)
  4. Hosting Party’s Contact information (name, address, OSA #, phone, fax, email, website)
  5. Team’s OSA number.   (Note: the team OSA number is on your Roster.)
  6. The requesting team’s age group and name. (i.e. Waterloo United U13B girls)
  7. Coach information (name, address, postal code, phone number, work phone number, email and OSA number)
  8. Manager information (name, address, postal code, phone number, work phone number, email and OSA number)
  9. Please specify: indoor or outdoor game and type of game (i.e. 7 v 7, 9 v 9, 11 v 11 indoor or outdoor)
  10. Full opposing team name, club, and contact information
  11. Is a referee required?  Yes or No   –> If YES, also cc: registrar@waterloominorsoccer.com
  • NOTE: Anyone playing in a series of Exhibition games and is listed as a HOME TEAM must fill out an Application to Host an Exhibition Game (AHEG) even if we are not the Club initiating the games.
  • Once an AHEG has been requested, please stay in contact with the other team’s manager or coach (whoever is responsible for travel permits) to receive their Travel Permit. (ATF)
  • Please use the AHEG form when submitting an AHEG request to the Office.  Once the AHEG is processed, it will be forwarded to the District for approval.  Please allow 7-10 business days.   The approved AHEG will be forwarded to the requesting coach/manager, who will then contact the visiting team with the approval reference number allowing them to contact their District for approval of an ATF.
